Which Route Do You Need?

Not every name change goes through the Gazette. A simple spelling or clerical error is often fixed at the source office. Use this table to see the correct route for your case.

Which route applies to your situation, and the proof each needs
Your situationCorrect routeUsual proof
Full name change (new name)Gazette notificationAffidavit, newspaper notice, Gazette
Surname change after marriageUsually no Gazette. The marriage certificate is the proof most offices ask for — passport, bank, voter ID, RTOMarriage certificate, and an ID already updated if you have one
Clerical error in birth certificateRegistrar, under the Registration of Births and Deaths Act 1969Supporting ID and records
Name in Aadhaar, PAN, passportUpdate at the issuing authorityGazette or valid supporting proof
Name in marksheet or degreeBoard or university, backed by GazetteGazette and newspaper notice

Not sure which one fits you? Message us and we will confirm the exact route before you spend anything.

Two Gazette Options for Karnataka Residents

When your case needs a Gazette notification, you can use either the Karnataka State Gazette or the Central Gazette of India. Both are valid for people living in Karnataka. Here is the quick difference.

State Gazette

Karnataka State Gazette

  • Published by the Department of Printing, Stationery and Publications, Bengaluru.
  • No newspaper advertisement required before the application. This is the practical advantage of the state route.
  • Filed at the Government Central Press on Mysore Road, Bengaluru. Publication usually 15 to 20 days.
  • A valid gazette notification, accepted as proof.
Central Gazette

Gazette of India

  • Published from the Department of Publication, Civil Lines, Delhi.
  • Newspaper notice is part of the file — one national English daily plus a regional paper.
  • Filed online, so no office visit anywhere. Required for Central Government employees.
  • Passes without discussion at passport offices and outside Karnataka, which is why we usually suggest it when either would do.

You Probably Need a Sequence, Not a Service

The list above is twenty-six services. Almost nobody needs one of them. What you actually have is a situation, and each situation has a chain — in a particular order, because each step is the proof for the next.

Common situations and the sequence of services each one needs
Your situationThe chain, in orderThe thing people get wrong
Married, taking a new surnameMarriage certificate → Aadhaar → PAN → bank → passport → the restBuying a Gazette first. For a married surname most offices want the marriage certificate, not a Gazette.
Divorced, going back to your maiden nameDecree → Aadhaar → PAN → bank → passportAssuming the decree changes the name by itself. It does not — it is only the proof.
A genuinely new name, by choiceAffidavit → Gazette → Aadhaar → PAN → bank → passport → certificatesUpdating one document and stopping. A half-finished chain causes every problem people blame the process for.
One or two letters spelt wrongStraight to the issuing office, with an ID that already shows the right spellingPaying for a Gazette a spelling fix never needed.
Wrong name on a child’s birth certificateRegistrar correction → school records → AadhaarGoing to the Gazette. A clerical error in a birth certificate is a Registrar matter under the 1969 Act.
Name on a degree does not match your passportGazette → board or university endorsement → keep both togetherExpecting a reprinted degree. Most universities issue a linking letter instead, and that is what employers actually accept.
Government employee changing nameDeed → Central Gazette → service book → then personal documentsTreating the service record like any other document. It has its own rule, and that is where a Gazette is genuinely required.

Why Aadhaar sits so early in every chain. Every other office reads the name on your Aadhaar. An Aadhaar that already agrees with your claim turns each later application into a formality. But UIDAI allows only two name changes in a lifetime — not two a year, two ever — so settle the exact spelling before you file the first one. That single fact should shape the order of everything else you do.

What you actually pay

The Costs, Separated Honestly

Competing pages advertise one number and leave you to discover the rest. There are three different kinds of cost here, and only one of them is ours.

Government costs, third-party costs and service fees, separated
CostWho gets itRoughly
Stamp paper and notary for the affidavitStamp vendor and notaryRs 100 to Rs 400
Newspaper notice, where your route needs oneThe newspapersRs 900 to Rs 1,500 for an English and a Kannada daily
Gazette publication feeGovernmentPublished figures disagree — commonly quoted between about Rs 1,100 and Rs 1,700 by type of change. The challan raised for your own application is the figure that binds.
Aadhaar, PAN, voter ID, RTO updatesGovernmentSmall or nil. A voter ID correction is free. Aadhaar and PAN charge modest fixed fees.
Our service feeUsQuoted for your case before you pay anything, and separate from all of the above

Two things worth saying plainly. A published gazette PDF is a free download — anyone charging a “retrieval fee” to hand you your own notification is charging for something the state gives away. And a clean, simple case is genuinely doable without us: the affidavit is a form, the gazette is a counter, and the portals are usable by the person whose name it is. We earn our fee on the messy cases — a mismatch across documents, a rejected file, a board that wants something unusual, a name history that takes explaining.

Before you hire anybody

When You Do Not Need a Service At All

We would rather tell you this now than take a fee for something you did not need. If your case is on the left, close this page and go straight to the office named.

Do it yourself

You almost certainly do not need us

  • A married surname on your passport — the marriage certificate is accepted on re-issue. No Gazette, no agent.
  • A voter ID correction — Form 8, online, free. The Election Commission charges nothing.
  • A one or two letter spelling fix where an existing ID already shows the right spelling.
  • Downloading a gazette you already published — it is a free public record.
  • Document attestation — that is a gazetted officer at your taluk office, not a gazette and not us.
Worth help

Where a service earns its fee

  • Your name differs across Aadhaar, PAN and your certificates, and you do not know which one to make the anchor.
  • An application has already been rejected once and you do not know why.
  • You are outside Bengaluru and the state route needs a counter visit.
  • A board or university is asking for something the rest of your paperwork does not obviously satisfy.
  • Several people are involved — a child, co-heirs, a spouse who must also sign.
The question nobody answers

What Happens If It Is Rejected?

Not one competing service page we read explains this. It is the thing people most want to know before they hand over money, so here it is by document.

What to do when an application is rejected, by document
Where it was rejectedWhat you can actually do
Gazette applicationRejections here are nearly always curable — a spelling that does not match, an unsigned form, a missing clipping. Correct and re-file. There is no appeal to exhaust, because nothing has been decided against you.
Voter ID (Form 8)If the ERO considered your documents and still refused, that is an order, and Section 24 of the Representation of the People Act, 1950 gives an appeal to the District Magistrate and then the Chief Electoral Officer — within fifteen days. Do not simply re-apply without checking which kind of refusal it was.
AadhaarRe-submission through an update centre, and beware the two-changes-a-lifetime limit — a rejected request should not be re-filed carelessly. Beyond the limit, a UIDAI Regional Office exception route exists but is slow.
PANAlmost always a mismatch with Aadhaar. Fix Aadhaar first, then re-file. Re-filing PAN against an unchanged Aadhaar produces the same rejection.
Birth certificateA Registrar refusal has its own route under the Registration of Births and Deaths Act — including delayed registration and appeal provisions. This is the one where the correct next step is genuinely worth asking about before acting.
Board or universityUsually a documentary gap rather than a refusal on merits. Ask, in writing, exactly which document they want — that question resolves most of these.

The habit that protects you. Check status weekly while anything is pending, and keep the screenshot. Several of these routes run on a deadline from the date of the order, not from the day you noticed it — and a monthly check can lose you an appeal window you never knew had opened.

People Also Ask

Which name change services do you handle in Karnataka?

We handle Gazette name change, surname change, name change after marriage or divorce, minor name change, and updates in Aadhaar, PAN, passport, voter ID, driving licence, birth certificate, education documents, bank records, LIC, ration card, and property papers.

Do I need a Gazette for a name change in education documents?

For most boards and universities, a Gazette notification plus a newspaper notice is the accepted proof to correct a name in marksheets and certificates. We guide you on the exact requirement for your board.

Is a birth certificate name correction different from a Gazette?

Yes. A clerical name error in a birth certificate is corrected through the Registrar under the Registration of Births and Deaths Act, not the Gazette. A full name change is done through the Gazette. We advise which route fits your case.

How long does the full process take?

The Gazette publication usually takes about 15 to 20 days after submission. The complete process, from affidavit to receiving your Gazette copy, is typically about 25 to 45 working days.

Do you serve all districts in Karnataka?

Yes. The process is fully online, so we serve people across Karnataka, including Bangalore, Mysore, Mangalore, Hubli, Belgaum, and smaller towns. You do not need to visit any office in person.

Is a newspaper advertisement needed for a name change in Karnataka?

For the Karnataka State Gazette route, no — a newspaper advertisement before the application is not mandatory. For the Central Gazette of India route, yes, the notice forms part of the file. Some boards and universities also ask for a paper notice when correcting a marksheet, whichever gazette you used, so tell us which document you are fixing and we will tell you whether you need one.

Which service do I need if I just got married?

Probably fewer than you think. Start with the marriage certificate as your proof, then Aadhaar, then PAN, then your bank, then the passport. A Gazette is generally not part of a married-surname change — most offices ask for the marriage certificate instead. We sell Gazette filings, so weigh that as you read it.

Do you charge for telling me which route I need?

No. Send us your situation and we will tell you the route, including when that route does not involve us at all. Quite a lot of the answers on this page are “go to that office yourself, it is free”.

Can I do this myself without any service?

For a clean case, yes, and we would rather say so. The affidavit is a form, the gazette is a counter transaction, and the government portals are usable by the person whose name it is. Services earn their fee on mismatches, rejections, unusual board requirements and cases with more than one person involved.

How much does the whole thing cost, end to end?

It depends on your route, which is why we separate the costs above rather than advertising one number. Government and third-party costs — stamp paper, notary, newspaper where required, the gazette fee — are the bulk of it. Our fee is quoted for your case before you pay anything.

Do I need a Gazette for every name change?

No, and this is the single most expensive misunderstanding in this field. A spelling correction usually does not need one. A married surname usually does not need one. A clerical error in a birth certificate is a Registrar matter, not a gazette one. A Gazette is for a genuinely new name, where nothing else evidences the change.

Which is better for me, the Karnataka State Gazette or the Central Gazette?

Both are valid. The state route needs no newspaper advertisement but is filed at a counter in Bengaluru. The central route requires the newspaper notice but is filed online from anywhere, and passes without discussion at passport offices and outside Karnataka. If either would do, we usually suggest the central route for that last reason — and if travel is your obstacle, it removes the problem entirely.

How long will the whole chain take, not just the Gazette?

Gazette publication is typically 15 to 20 days after submission. What people underestimate is what follows: Aadhaar, PAN, bank and passport each have their own timeline, and they run in sequence rather than in parallel because each is the proof for the next. Budget two to three months for a full chain, not two to three weeks.

What if my name is spelt differently on every document?

Then the first decision is not a form, it is choosing an anchor — the one spelling every document will be made to match. Usually that is whatever your Aadhaar and PAN can most easily be brought to agree on. Choosing it badly means doing the whole chain twice, and on Aadhaar you only get two name changes in a lifetime.

Do you handle cases outside Karnataka?

Our work is Karnataka-focused, and the state route is a Karnataka office. The Central Gazette route is a national process filed online, so it is not limited by where you live. Tell us where you are and which documents you need to end up correct, and we will tell you honestly whether we are the right people.

Is a name change on the Gazette permanent? Does it expire?

Permanent. A published gazette is a public record that does not expire, need renewing, or lapse if unused. Keep the PDF backed up in two places along with the notification number, since that number is what lets anyone find your entry years later.

What happens to my old documents and records?

They stay as they are, and that is normal. A registered sale deed, a conferred degree, published work, court records — none of these is rewritten. What you build instead is a documented chain: the gazette or certificate linking the old name to the new one. That chain is what verification teams are actually looking for.

Do you offer any guarantee?

We will not promise an outcome that a government office decides. What we do commit to is telling you the route before you pay, preparing the file so the common rejection reasons do not apply, and fixing and re-filing at our cost if a file we prepared comes back for a reason that was ours. Anyone guaranteeing a government approval is guaranteeing something they do not control.

name change after marriage documents

Marriage certificate, your existing IDs, photographs. For most offices that is the proof — a Gazette is generally not part of it.

Two in a lifetime. This one fact should decide the order in which you do everything else.

voter id name change fees

Nothing. A Form 8 correction is free. Any fee you pay for it is to an agent, not to the Election Commission.

birth certificate name correction karnataka

A Registrar matter under the Registration of Births and Deaths Act, 1969 — not a gazette matter. Different office, different route, usually cheaper.

central gazette vs state gazette

Both valid. State: no newspaper ad, counter visit in Bengaluru. Central: newspaper ad required, filed online, passes more easily outside Karnataka.

name change in marksheet karnataka

Board or university, backed by a gazette. Expect an endorsement or linking letter rather than a reprinted certificate.

gazetted officer attestation karnataka

A person, not a place, and nothing to do with the gazette office. Your taluk Tahsildar or Deputy Commissioner attests documents.

Worth asking what you are paying for. If your case is a married surname on a passport, or a free voter ID correction, the honest answer is that you do not need an agent at all.

Fix Aadhaar first. PAN is verified against it, and re-filing PAN against an unchanged Aadhaar produces the same rejection.
