The basics

What an RTA Is

A Registrar and Transfer Agent, or RTA, is the agency a company appoints to manage its shareholder records. When you need a name change on your shares, you deal with the RTA, not the company directly.

  • Keeps the records — maintains the register of shareholders.
  • Processes requests — handles name changes and corrections.
  • Manages demat — moves physical shares to demat.
Good to know: one company has one RTA, but if you hold shares in several companies, you may deal with more than one RTA.
The main names

KFintech, CAMS and Others

Most Indian companies use one of a small number of RTAs. The main ones you will come across are:

Common

KFintech

  • KFin Technologies.
  • Handles many listed companies.
Common

CAMS

  • Computer Age Management Services.
  • Also widely used.
Also seen

Link Intime

  • Another major RTA.
  • Used by several companies.
Good to know: the process is broadly the same across RTAs, though each has its own forms and portal.
First step

How to Find Your RTA

Check old share letters

The RTA name is usually printed on past correspondence.

Visit the company's investor page

Companies list their RTA under investor relations.

Match the folio

Your folio number ties your holding to that RTA.

Tip: if you are not sure which RTA holds your shares, send us the company name and we will identify it for you.
Step by step

The RTA Process

Identify your RTA

Confirm whether it is KFintech, CAMS, or another agent.

Get the service request form

Download the RTA's form for a name change on physical securities.

Prepare your proof of name

A discrepancy affidavit, marriage certificate, decree, or gazette.

Attach ID and submit

Self-attested PAN and Aadhaar, the certificate, and your proof.

Verification and demat

The RTA verifies and moves the shares to your demat account.

Tip: update your PAN and Aadhaar first, so your name matches. See our PAN and Aadhaar mismatch guide.
If a gazette is needed · Option 1

Karnataka State Gazette Process

Where your proof of name is a legal new name, the RTA will want a gazette. For Karnataka residents the State Gazette is the faster route, run by the Department of Printing, Stationery and Publications in Bengaluru.

Notarised affidavit

Old name, new name, and reason on stamp paper, before a notary.

Newspaper notice

One English and one Kannada daily; keep the full original pages.

Application file

Form with Aadhaar, address proof, photos, affidavit, and newspaper originals.

Submit and pay

Lodge the file at the department's Bengaluru office with the fee.

Published and downloaded

Your notification appears in the state gazette; download the PDF from the e-Gazette portal.

Quicker option: the state gazette is typically faster and is accepted by RTAs and banks.
If a gazette is needed · Option 2

Central Gazette (Gazette of India) Process

The Central Gazette is published from Delhi and is valid across all of India. It is required for government employees and useful when a nationwide record of your name is needed.

Affidavit

The same notarised name change affidavit.

National daily advert

One English national daily plus a regional paper; a local-only paper is not accepted.

Form, CD and DD

Application form, a soft copy on CD, ID proof, and a demand draft for the fee.

Send to Delhi

To the Controller of Publications, Department of Publication, Civil Lines, Delhi 110054.

Published and downloaded

Once in the Gazette of India, download from egazette.gov.in.

Both are valid: for Karnataka residents, the State and Central Gazette are both accepted for a share certificate name change. Full details in our gazette name change guide.
What the RTA needs

Documents the RTA Needs

  • Service request form — the RTA's form for physical shares.
  • Proof of name — affidavit, marriage certificate, decree, or gazette.

Questions and answers

Frequently Asked Questions

How does the KFintech or CAMS name change process work for shares?
You apply to the company's Registrar and Transfer Agent, such as KFintech or CAMS, with the service request form, your proof of name (an affidavit, marriage certificate, decree, or gazette), self-attested PAN and Aadhaar, and the original certificate. The RTA verifies the documents, updates the record, and moves the shares to your demat account.
How do I know if my RTA is KFintech, CAMS, or another?
The RTA name is usually printed on old share letters and correspondence, and companies list their RTA on the investor relations page of their website. Your folio number ties your holding to that RTA. If you hold shares in several companies, you may deal with more than one RTA, one per company.
Is the process different for KFintech and CAMS?
The process is broadly the same across RTAs, since they all follow the framework for physical securities. What differs is the specific service request form and the online portal each RTA uses. We handle whichever RTA holds your shares and complete the correct form for that agent.
Do I need a gazette for the RTA to accept my name change?
Only if your name change is a genuinely new legal name. For a spelling fix an affidavit is enough, after marriage a certificate works, and after divorce a decree usually works. When a gazette is needed, both the Karnataka State Gazette and the Central Gazette are valid for Karnataka residents.
Will the RTA keep my shares in physical form?
No. Since April 2019, physical shares cannot be transferred, so the RTA processes the name change and dematerializes the shares. After verification, the RTA issues a Letter of Confirmation and the shares are credited to your demat account, so keep your demat details ready.
Can you deal with the RTA on my behalf?
Yes. Tell us the company and your case. We identify the RTA, complete the correct service request form, prepare the affidavit or arrange a gazette if needed, organise your ID and demat details, and guide the submission, so the name change goes through the RTA without rejection.
